Giving Sales Their Fridays Back Without Losing CRM Data
Twelve sales reps spent their Fridays filling in the CRM, for data that nobody really relied on. Our team simplified data entry, automated capture and put sales steering back at the centre.
The company
A 80-person industrial SME in Valais, selling B2B with long sales cycles and 12 sales reps.
The problem and its cost
Every Friday, the reps rebuilt their week from memory using notebooks, emails and messages, then typed it into the CRM. The result arrived late, stayed incomplete and mostly served to fill mandatory fields. Management did not trust the pipeline and prepared its forecasts separately, by phone.
The cost is first of all lost selling time. Four hours a week per rep, over 46 weeks at a loaded hourly cost of CHF 85, comes to about CHF 188,000 a year (12 sales reps × 4 h × 46 weeks × CHF 85). On top of that comes a less visible cost: decisions made on information several days old.
The strategy
Our team did not start with a tool. Together with sales management, it defined the decisions the pipeline must inform, then kept only the information that serves them. This selection came first, because automating useless data entry would only have made it faster.
Next, capture was automated from the existing CRM, and AI was added for visit reports. A weekly steering routine came last, so that the data would actually be used. This order lets the reps see a benefit quickly, which is what earns their buy-in. The expected saving is about CHF 131,000 a year for an investment of about CHF 40,000, a payback of roughly 4 months.
The execution
Team: A dedicated contact, the WALVIS core team (strategy, finance, operations, data, AI) and an expert in industrial B2B sales from our network.
- →A data model reduced to a few fields, each tied to a decision by sales management.
- →Automatic capture of emails and calendar meetings into the CRM already in place.
- →A visit report, dictated or written in a few lines, turned into structured fields that the rep validates in one step.
- →A 30-minute weekly pipeline review, supported by a single dashboard built with existing tools.
AI turns raw visit notes into CRM fields and proposes a summary of the exchanges. It is used only there, because that was the step where manual entry took the longest.
The largest gain comes from cutting down what is asked and from a simple rule: what is not used in the pipeline review is no longer entered. The weekly rhythm and clearer responsibilities do the rest, with no technology involved.
The result
Expected annual saving: 70% of CHF 188,000, about CHF 131,000. For an investment of about CHF 40,000, payback comes in 4 months.
The gain rate is 70% rather than 100% because reps must still validate, add nuance and contribute what only they know, and atypical situations remain entered by hand.
- Fridays returned to customer relationships and offer preparation.
- A reliable pipeline on which management can base its forecasts.
- Sales reps who see the CRM as support rather than control.
